Contact Master

Register, edit, and delete customer contacts; manage influence levels and decision power

Contact Master

Contact Master is the screen for registering and managing contacts (customer representatives) per customer company.
Registered contacts can be assigned as a project's Main Contact or tracked via the Activity Timeline.

Screen Layout

Contact Master uses a two-panel layout.

Right Panel β€” Input / Edit FormAllows entry of new contacts or editing existing ones.

Header Functions

  • Excel Button β€” Exports the current list as an Excel file (.xlsx).
  • Search All… β€” Keyword search across all fields.
  • Active Count β€” Displays the current number of active contacts.

Table Columns

ColumnDescription
ContactDisplays name and position. Primary Contact shows a ⭐ badge.
CompanyShows the associated customer company name.
InfoDisplays email and mobile phone information.
InfluenceVisualizes decision-making influence as a progress bar (Critical / High / Medium / Low).
ActiveShows active status with a green dot (●).

Filter Row

  • Name β€” Filter by contact name
  • Active β€” Dropdown filter for active/inactive status (All / Y / N)

Row Selection

Clicking a contact row in the list:

  1. Highlights the selected row.
  2. Switches the right panel to edit mode.
  3. Populates the form with the contact's information.

Form States

Field Description

Basic Information

Active-Toggle switch. ON = active, OFF = inactive.
Company (Customer)βœ…Select associated customer. Inactive customers cannot be selected (but if an existing contact belongs to an inactive customer, editing is still allowed).
Full Nameβœ…Contact name. Required field.
Department-Department affiliation (e.g., Sales, Engineering).
Position-Job title (e.g., Manager, Director).

Contact Info Section

EmailEmail address. Clicking in the list opens email client.
MobileMobile phone number.
Office PhoneOffice phone number (including extension).

Influence Section

FieldDescription
Decision PowerSet decision-making influence with a 1–10 slider. Current value is displayed in real time.
Set as Primary ContactCheck to designate this contact as the customer's primary representative. Primary Contacts are marked with a ⭐ badge in the list.

What is Decision Power?

Decision Power quantifies the level of decision-making authority a contact holds in the sales process.

πŸ’‘ Tip: Decision Power serves as foundational data for weighting "who the meeting was with" in project activity analysis.
The more accurately you set it, the higher the quality of your sales analytics.


Operations

Create Contact

  1. Ensure the right panel is in "New Contact" state.
  2. Select Company (Customer) (required).
  3. Enter Full Name (required).
  4. Fill in other fields as needed.
  5. Adjust the Decision Power slider (default: 5).
  6. Click the Save button at the top.

Update Contact

  1. Click the contact to edit in the left list.
  2. The right panel switches to edit mode.
  3. Modify desired fields.
  4. Click the Save button at the top.

Delete Contact

  1. Click the contact to delete in the left list.
  2. Click the Delete button at the top.

⚠️ Delete Restrictions:

Contacts assigned as a project's Main Contact cannot be deleted.
First change the project's Main Contact to someone else, or use Active OFF to deactivate instead.

Reset Form

Clicking the Reset button at the top:

  • Returns the form to "New Contact" state.
  • Resets the Decision Power slider to default (5).
  • Removes row highlighting in the list.

Header Buttons (Global Actions)

SaveSaves current form content (create or update).
ResetReturns form to initial state (New Contact).
CloseCloses the current tab. Shows confirmation dialog if there are unsaved changes.
DeleteDeletes the selected contact (if deletion conditions are met).

Important Notes

  1. Company and Full Name are required fields. Saving is blocked if either is empty.
  2. New contacts cannot be added to inactive customers. However, if an existing contact belongs to an inactive customer, editing is still allowed.
  3. Primary Contact is automatically suggested as the Main Contact when creating a project. Set it accurately.
  4. Decision Power may be used as a weighting factor for meeting partners in future Bayesian analysis. Set it to match the contact's actual decision-making authority.
  5. Deactivation is recommended over deletion. Deletion is irreversible, and contacts assigned as Main Contact cannot be deleted at all.
