This manual describes the ExaTimebox+ Free web version. Pro features and advanced analysis are covered in later documents.

1. One-Sentence Definition

ExaTimebox+ is not a timetable app. It is an execution operating system that guides the life and business success goals a user defines for themselves into the most important daily actions, accumulates evidence of those actions, and helps execution converge toward success.

In product language:

ExaTimebox+ turns life and business goals into executable evidence. It helps a person choose what matters tomorrow, record what actually happened today, and learn their real execution capacity without turning the day into a moral scorecard.

The web screen is the workbench where this definition becomes real. It turns directions that matter in life and business into 3-5 Rings that can actually be completed today, then completes those Rings through actual activity intervals and Activity TX evidence.

The rule of this manual is simple.

  • Do not bring everything into the day. Open only the 3-5 core Rings you will complete today.
  • Large work cannot become a Ring as-is. It must first be broken into an action piece that can realistically finish within one day.
  • That day-sized action piece is the condition that makes a Ring work. If this condition fails, recording, notifications, reports, and Bayesian analysis lose their power to converge toward success.
  • A To Do is the beginning of a Ring, not the completion of it.
  • A 10-minute cell is not a future timetable. It is a grid for marking activity that actually happened.
  • Activity TX is execution evidence that groups continuous activity intervals.
  • Review and reports are not scorecards. They are operating evidence for choosing tomorrow's first Ring more accurately.

2. What You Can Do in the Free Version

The Free version focuses on completing the core daily execution loop. Instead of structuring every goal in your life, it gives you what you need to choose the Rings you can actually complete today, leave execution evidence, and adjust your next choice.

The Free version does not block the core execution loop. However, server-costly features, large storage, long-term analysis, automatic AI analysis, and advanced reporting may be limited or provided in the Pro version.

3. Current Free Version Limits

Depending on operations, the following may later be limited in the Free version.

  • Very long report ranges
  • Automatic analysis or advanced coaching

These limits are not meant to hide user records. They are operating rules to keep the Free version stable.

4. Create an Account and Sign In

Create an account

  1. Select Sign up on the login screen.
  2. Enter a display name.
  3. Enter an email address.
  4. Enter a password with at least 8 characters.
  5. Click Create account or Sign up.

Email verification is not required at sign-up. This is a Free version policy to let users start easily.

However, if you forget your password, the reset link is sent to the email you used at sign-up. If you use an address you cannot receive, password reset may be difficult.

Sign in

  1. Enter your email and password on the login screen.
  2. Click Sign in.
  3. After sign-in, you move to today's screen.

The web and mobile versions use the same account. If you created an account on the web, sign in on mobile with the same email and password.

Reset password

  1. Select Reset password on the login screen.
  2. Enter the email you used at sign-up.
  3. Click the link in the email. It opens the password-reset login screen. Enter your new password there.

The password-reset email is not sign-up verification. It is an account recovery process that checks whether you can receive email when recovery is needed.

At first, you do not need to make a perfect plan. Get open loops out into Brain Dump, break big work into action pieces that can finish within one day, and open only the 3-5 Rings you can actually complete today.

6. Use Brain Dump

Brain Dump is a place to get open work out of your head. Writing something there is not completion, but it helps you avoid losing important work while choosing the Ring to execute now.

This recommendation is grounded in the cognitive-psychology idea of externalization and in practical task-management experience. When open work stays only in your head, it is harder to choose the action piece to execute now. Put it outside first, then select only the Rings you can complete today.   1. Choose a type.
  2. Enter a task or thought in the input field.
  3. Add it with + or Enter.

You can search and reuse items you entered before. Titles and notes entered by the user are not automatically translated when the language changes.

7. Promote a To Do into an Open Ring

Promote only the Brain Dump items that you will actually complete today into To Do. At that moment, a To Do is not a simple checkbox. It is the starting state of a Ring: an Open Ring.

There is an important condition. A whole project, a vague goal, or work that takes several days cannot be a Ring as-is. It must be cut into a piece that can end as a real action within today.

  1. Click Promote or the registration button on a Brain Dump item.
  2. The item appears in the To Do list.
  3. Set its order with priority buttons.
  4. If needed, enter a loose time period, such as morning, afternoon, or night, and estimated minutes.

A To Do is not “everything I should do someday.” It is “the execution unit I will actually touch and complete today.” This is ExaTimebox+'s philosophy and a necessary condition for success. If work is not cut into a day-sized action piece, the Ring becomes too large and the most important execution moves to tomorrow again. Hold only 3-5 Open Rings first, then attach real time to the first Ring.

If you selected the wrong recording target, click the selected To Do again to clear the selection, then choose the correct one.

8. Leave Activity Intervals as Evidence

Record with 10-minute cells

10-minute cell recording does not mean writing text every 10 minutes. It means clicking or dragging the time you actually worked and marking it with color. You do not write “what I did” every 10 minutes; first, you quickly mark the actual execution interval.

  1. Select the Open Ring to record. Select the same Ring again to clear the selection.
  2. In Activity Result, click an empty 10-minute cell for the time you actually worked.
  3. If you worked for 20 minutes, 30 minutes, or one hour, drag across that interval to mark it at once.
  4. If you marked the wrong cell, select it again and edit it or remove it from the activity group.

A wrongly marked cell can be corrected immediately after recording. You can remove only a specific 10-minute cell inside an Activity TX, or delete the whole TX if it was created by mistake. Older activity records may later require a correction trail instead of silent deletion. This protects Bayesian calculation from losing past execution evidence without explanation.

Recorded cells are shown in color. Continuous records in the same color form one activity flow and become the evidence that moves the Ring into Recorded Ring.

Comments are not mandatory for every cell. When needed, leave the result, interruption reason, or next action on the recorded activity group, called Activity TX.

Record with Start / Stop

  1. Select the Open Ring you are executing now.
  2. Click Start.
  3. When the activity ends, click Stop.

Start/Stop records are also organized into 10-minute activity intervals and become one Activity TX evidence item.

General activity

General activity is a default item for quickly recording time. Use it when an activity is hard to classify as a goal Ring but should still be recorded.

If the same general activity repeats, separate it next time into a Brain Dump item and open it as a formal Ring. This prevents important execution and reactive operating time from mixing together.

9. Understand Ring

Ring is ExaTimebox+'s most important communication language for daily execution and its basic execution unit.

Formally, a Ring is ExaTimebox+'s basic execution loop: the user chooses something important, turns it into an action piece executable within one day, and completes that piece through actual activity marks and Activity TX evidence.

Ring is not just another name for To Do. It is not a timetable block, and it is not a simple checkbox. To Do is only the starting point of a Ring. A Ring becomes recorded execution only when an actual activity interval is marked and Activity TX evidence is attached.

For a Ring to exist, the following conditions must hold.

  • It must be something the user judges important.
  • It must be an action piece that can finish today, not an entire project or vague goal.
  • Actual activity intervals must be recorded through 10-minute Activity Slots or Start/Stop.
  • Continuous activity intervals must be grouped as Activity TX evidence.
  • The user must be able to look at that evidence and decide whether the Ring is complete.

Therefore, the first condition of a Ring is not only “Is it important?” but also “Is it executable today?” If important work is too large, it must be split first. Only on this condition does Ring Coach become meaningful, reports become interpretable, and Bayesian analysis learn the user's real execution capacity.

In product introduction copy, a completed Ring may be called Completed Ring; on the current work screen, the count is shown as Closed Ring. Users can understand them as the same meaning. The key is not “Did I write a To Do?” but “Did an important Ring, cut into a day-sized action piece, pass through actual activity evidence and complete?”

Think of Ring in three states:

The date area on the screen shows counts for Open Ring, Recorded Ring, and Closed Ring. These numbers quickly show whether today's important work is still only an intention, has moved into actual records, or has been completed.

Ring Coach is not the Ring itself. Ring Coach is a notification feature that helps an Open Ring move into actual activity records when it remains without evidence. Review, Report, Bayesian, and Success Intelligence are not Ring states either. They are higher layers that interpret completed Rings and Activity TX evidence.

10. Leave TX Comments

TX stands for Activity Transaction. It may be one 10-minute cell or a continuous group of cells. It is the execution evidence that makes a Ring complete.

  1. Select a recorded cell.
  2. Write what you did in the comment area.
  3. If needed, also add the interruption reason or next action.

Good comment examples:

  • “Drafted the first proposal. Next: check the unit price table.”
  • “Customer reply sent. Waiting for approval.”
  • “Focus broke. Next time, start with notifications off.”

A comment is not an optional auxiliary memo. In ExaTimebox+, the core feature after activity recording is interpreting completed Rings and Activity TX evidence through Success Intelligence and Bayesian analysis to adjust the next execution condition. You must leave at least a short result, interruption reason, or next action so that analysis and management feedback can read the real context. Only then can the product deliver its practical effect. Without comments, records are close to a timetable; with comments, even a failed day becomes the next operating condition. Voice input is supported. Click the voice button, record your voice, and press the stop button; the recognized text is inserted into the body. The voice language must match the app setting language for accurate recognition.

11. Activity TX Attachments and Operating Note Body Insertion

The current structure is divided into two input areas.

The desktop web version does not provide a Photo capture button. The flow that opens the phone camera directly is used only in the Activity TX attachment area of mobile/PWA.

The Image button in Activity TX opens the PC file picker and attaches an image file. File attaches a general file, and video files can also be attached through file selection. Images and videos appear as previews when possible; other files appear as open links.

Images, videos, and files in the operating note text editor are not a simple attachment list. They are body insertion features. If you press the image button in the editor toolbar, the image is inserted at the current cursor position. If you use the video button or video URL button, the video is inserted into the body. General files are inserted as file links in the body.

Voice input is not a voice-file attachment feature. When you press the microphone button, browser speech recognition starts. When you press it again or recognition ends, the spoken content is inserted as text into the Activity TX comment or the current cursor position of the operating note. If the browser does not support speech recognition or microphone permission is blocked, continue typing with the keyboard.

Currently, each attached file can be up to 25MB. Large file storage or heavy attachment use may later be limited or separated into Pro features.

12. Daily Review and Operating Notes

At the end of the day, summarize briefly.

Daily review

  1. Select today's score from 1 to 5.
  2. Write which Rings were completed, which Rings stopped after only being recorded, and what interrupted the day.
  3. Leave a short action to bring into tomorrow's first Open Ring.
  4. Voice input is provided. Spoken content is converted to text through speech recognition and inserted at the current cursor position. This does not store the original voice file. Voice must be spoken in the same language as the setting language for accurate recognition.

Operating notes

Operating notes are free-form notes by date. You can leave meeting notes, checklists, tomorrow prep, and ideas not as plain text only, but through a rich text editor.

Images and videos are inserted in visible form inside the body, so it is useful to place meeting screenshots or reference materials together with sentences. General files are inserted as links. Voice input is useful for quickly writing long thoughts in operating notes, but recognition quality can vary depending on browser, device, microphone permission, surrounding noise, and network status. Always check important content visually before saving.

Daily review is a “memo that reviews today,” and operating notes are “free records for that day.”

The daily score, blockers, next actions, and the memo/attachment context of operating notes are input items used by Success Intelligence, Bayesian calculation and analysis, and management feedback to interpret the day's execution conditions. These records are not a scorecard for judging the user. They are observations for adjusting tomorrow's Ring choices and operating conditions more accurately.

13. Prepare Tomorrow

Tomorrow Prep is a flow for choosing tomorrow's execution candidates tonight. It is not for building a fixed timetable; it helps you start tomorrow morning from the first Open Ring without thinking from scratch again.

Choosing tomorrow's 3-5 priority tasks at the end of the day is one of the most important habits in ExaTimebox+. It is simple, but it requires energy, and it is necessary for success. Do not carry a large task over as-is. Break it into execution pieces that can finish within one day, and leave only the most important Rings so tomorrow's execution can begin.

EXA does not assume that unfinished work from yesterday automatically rolls into today. Every day, the user looks again, chooses again, and completes 3-5 Rings again. Because a Ring is the basic execution loop where a priority To Do passes through actual activity marks and Activity TX evidence to completion, Tomorrow Prep opens the next day's success loop in advance.

  1. Look at today's Brain Dump, To Do, daily review, and report for work to continue tomorrow.
  2. Choose only about 3-5 core Rings you must complete tomorrow.
  3. Enter estimated minutes for each To Do.
  4. Choose a loose execution period: morning, afternoon, or night.
  5. The next morning, start with the first Open Ring instead of rebuilding the plan.

Estimated minutes are a reference, not a promise. The point is not to fill a timetable, but to make tomorrow's starting Ring clear. Actual time records are left tomorrow through 10-minute Activity Slots and Activity TX.

14. View Reports

Reports show where your time actually went and which Rings were completed.

Many ordinary To Do managers or activity-recording tools stop at writing tasks, logging time, and checking items off. ExaTimebox+ cares about what happens after that. From Closed Rings and Activity TX evidence, it moves toward interpreting “why execution happened,” “why it stopped,” and “what should change tomorrow.”

The Free report is the basic entrance to this Success Intelligence. This Free manual covers basic report use: Closed Rings, activity time, TX, comments, and daily flow. Fuller Bayesian calculation, goal-linked analysis, failure-cause interpretation, behavior guidance, management feedback, and coaching are covered later in Pro / Success Intelligence features.

  1. Open Period report.
  2. Choose week, month, or custom period.
  3. Check activity time, activity groups, comments, and daily flow.

Reports include:

  • Total activity time by period
  • Time totals by activity
  • Daily record flow
  • Activities with comments
  • Difference between Closed Rings and general activity
  • JSON or CSV download

The Free version provides basic reports. Long-term analysis, goal-linked analysis, automatic AI coaching, advanced Bayesian interpretation, and execution-pattern-based feedback may be separated as later Pro features.

15. Download Your Data

You can download your records from the account panel or report screen.

The download includes records left by the user, such as activity records, comments, reviews, and operating notes. Passwords are not included.

16. Continue on Mobile

Use the /m screen on mobile.

  1. Open ExaTimebox+ on your phone browser.
  2. Sign in.
  3. If needed, add it to the home screen as an app.
  4. Select a To Do and record with 10-minute cells or Start/Stop.

The mobile screen provides a bottom action bar for quick recording. The support icon in the bottom action bar opens the same /support contact screen; it is not a separate native support feature. For details, see ExaTimebox+ Free Mobile/PWA User Manual.

17. Ring Coach Notifications

Ring Coach is not a nagging reminder for a task. It is ExaTimebox+'s behavior-guidance notification system that points to the next action required to complete a Ring. Its purpose is not to make you remember a To Do, but to help an Open Ring move into actual activity evidence, prevent a Recorded Ring from being abandoned, and connect a completed Ring to a short Review and the next choice.

Ring Coach does not execute anything automatically. It preserves the user's judgment while helping the daily execution loop continue from the first Activity TX to continued recording, completion, and short Review.

Review, Insight, and Success Intelligence are not Ring states. They are higher layers that interpret completed Rings. Ring Coach keeps Open Rings and Recorded Rings from being abandoned before that point.

To receive notifications, the following conditions are needed.

  1. Sign in to ExaTimebox+.
  2. Turn on Ring Coach notifications.
  3. Allow notifications in the browser or device.
  4. For stable mobile notifications, add the app to the home screen.

The Ring Coach settings screen shows:

  • Whether app notifications are on
  • Whether browser notification permission is allowed
  • Whether this device is ready to receive notifications
  • Whether you are using it as a home-screen app

If notifications do not arrive, first check whether notifications are blocked in the device or browser.

18. Notification Center vs. Ring Coach

The top Notification Center is for checking app guidance and EXA announcements. Read status is stored in the current browser.

Ring Coach notifications are device notifications. To receive notifications while not using the app, check notification permission and device connection in Ring Coach settings.

They are not the same feature.

19. Contact EXA Support

Contact EXA is a support channel where you can exchange messages directly with the ExaTimebox+ operator. You can leave questions about usage, account issues, recording/notification issues, and improvement requests.

Currently, support inquiries store only what the user directly enters, attaches, or pastes. Timebox activity names, comments, reviews, and operating notes are not automatically attached.

Send a new inquiry

  1. On web, open one of Support, Contact EXA, or the message icon in the top or settings area. On mobile, tap the support icon in the bottom action bar.
  2. Select New inquiry.
  3. Write the issue briefly in the title.
  4. In the message, describe the situation, screen used, expected result, and actual result.
  5. If screenshot attachment or paste is available, include the problem screen.
  6. Click Send inquiry.

Good inquiry examples:

  • “Ring Coach notifications do not arrive on mobile.”
  • “This week's records look empty in the report.”
  • “I did not receive the password reset email.”

View replies and follow up

  1. Select your inquiry from Inquiry list.
  2. Read the operator's reply in the conversation screen.
  3. If more explanation is needed, leave a reply in the same inquiry.
  4. A closed inquiry may no longer accept replies.

Do not write passwords, verification codes, payment card numbers, or private sensitive information in support messages. If you need to share an activity name or comment to reproduce a problem, copy only the necessary part directly into the message.

20. Change Language

You can change the language in the account or settings area.

Changing language changes screen buttons and guide text, but it does not change content you entered yourself.

21. Free Version and Planned Pro Features

The Free version focuses on completing the daily execution loop.

Candidate Pro or later-version features include:

  • Longer-range advanced reports
  • Analysis connecting goals and activities
  • Failure-cause analysis
  • Coaching based on execution patterns
  • Larger attachment capacity
  • More storage
  • Advanced notifications
  • Automatic AI analysis

The current Free manual does not describe Pro features as usable procedures.

22. Common Issues

I did not receive a sign-up verification email.

No verification email is sent at sign-up. The email is used as the login ID.

I did not receive the password reset email.

Check whether the email you entered is the one used at sign-up. If it still does not arrive, try again after a while. If you signed up with an email you cannot receive, password reset may be difficult.

Notifications do not arrive.

Check notification status in Ring Coach settings. If notifications are blocked in the browser or device settings, they will not be delivered even if you turn them on in the app.

The report looks empty because there are too few records.

Start with about three 10-minute cells today. Reports begin from that. Leaving a little evidence every day matters more than perfect records.

There is too much general activity.

If a general activity repeats, write it as a new Brain Dump item and promote it to a To Do. Then it will be easier to see later.

I want to contact the operator.

On web, open Support or Contact EXA. On mobile, tap the support icon in the bottom action bar to send a new inquiry. When the operator replies, you can view it in the same conversation and leave a follow-up message.

On your first day, the following steps are enough.

  1. Sign up or sign in
  2. Write three things in Brain Dump
  3. Promote only 1-3 things to To Do for today
  4. Select the first To Do
  5. Record one 10-minute cell
  6. Leave a short TX comment
  7. Write one line of daily review at the end of the day
  8. Choose tomorrow's first Open Ring in Tomorrow Prep
  9. Check the record in the next day's report

The goal of ExaTimebox+ Free is not to use many features at once. It is to gradually align “what I think is important” with “where I actually spent time” every day.
