ExaTimebox+ Free Mobile/PWA User Manual
How to use ExaTimebox+ Free on mobile/PWA: check 3-5 Rings for today and leave Activity TX evidence on the move.
ExaTimebox+ Free Mobile/PWA User Manual
This manual describes the ExaTimebox+ Free mobile/PWA version. Pro features and advanced analysis are covered in later documents.
1. One-Sentence Definition
ExaTimebox+ is not a timetable app. It is an execution operating system that guides the life and business success goals a user defines for themselves into the most important daily actions, accumulates evidence of those actions, and helps execution converge toward success.
In product language:
ExaTimebox+ turns life and business goals into executable evidence. It helps a person choose what matters tomorrow, record what actually happened today, and learn their real execution capacity without turning the day into a moral scorecard.
Mobile/PWA is the action surface that keeps this definition available on the move. It is not a desktop screen simply reduced in size. It is organized so that a phone user can check Open Rings, quickly mark actual activity intervals, and leave Activity TX comments.
Remember three rules on mobile.
- Hold only the 3-5 core Rings you will complete today.
- Big work cannot be a Ring as-is. It must be broken into an action piece that can finish within one day.
- Mark only the activity intervals that actually happened as 10-minute Activity Slots.
- Recorded Activity TX and comments become evidence for adjusting the next plan.

| Stop | Finishes the started activity and saves it as a record |
While the keyboard is active, the bottom action bar may hide or adjust position so that it does not cover the input field.
8. Use Brain Dump
Brain Dump is where you first get tasks out of your head. It does not need to be perfectly organized from the beginning. On mobile, it is mainly a way to catch thoughts before they are lost and later promote them into Rings for today or tomorrow.
This recommendation is grounded in the cognitive-psychology idea of externalization and in practical task-management experience. When open work stays only in your head, it is harder to choose the action piece to execute now. Put it outside first, then organize candidates for Rings you can complete today or tomorrow. For the larger product background, see ExaTimebox+ Product Introduction.
- Tap the
Brain Dumpinput field on today's screen. - Enter a short task.
- Tap
+or the keyboard completion button. - If it is for today, tap
Promoteto move it into To Do.
Recurring items can be recalled through history search. Multi-line input lets you add several items at once.
9. Choose a To Do as an Open Ring
On mobile, tapping a To Do selects it. A To Do that is not general activity is the starting state of a Ring: an Open Ring. Estimated minutes must be entered before recording. If you selected the wrong target, tap the selected To Do again to clear the selection, then choose the correct one.
Before making an Open Ring, check the condition first. A whole project, a vague goal, or work that takes several days cannot be a Ring as-is. It must be cut into a piece that can end as a real action within today.
Examples:
| Big work | Day-sized action-piece Ring |
|---|---|
| Improve the product page | Rewrite three first-screen copy lines |
| Prepare a customer proposal | Draft the first pricing table |
| Build an exercise habit | Walk for 30 minutes today |
| Study English | Read 20 example sentences aloud |
| Item | Description |
|---|---|
| Morning / afternoon / night | Loose execution period |
| Estimated minutes | Time you expect to spend on this task |
| Selected activity | Current recording target shown in the bottom action bar |
| Plan lock | After activity records exist, past plans are protected from easy rewriting |
A day can have up to 10 To Dos. But the core is not filling the maximum. It is holding the 3-5 Rings you can actually complete today. If those Rings are not day-sized action pieces, records, notifications, reports, and Bayesian analysis all become blurred.
10. Understand Ring
Ring is ExaTimebox+'s most important communication language for daily execution and its basic execution unit.
Formally, a Ring is ExaTimebox+'s basic execution loop: the user chooses something important, turns it into an action piece executable within one day, and completes that piece through actual activity marks and Activity TX evidence.
Ring is not just another name for To Do. It is not a timetable block, and it is not a simple checkbox. To Do is only the starting point of a Ring. A Ring becomes recorded execution only when an actual activity interval is marked and Activity TX evidence is attached.
For a Ring to exist, the following conditions must hold.
- It must be something the user judges important.
- It must be an action piece that can finish today, not an entire project or vague goal.
- Actual activity intervals must be recorded through 10-minute Activity Slots or Start/Stop.
- Continuous activity intervals must be grouped as Activity TX evidence.
- The user must be able to look at that evidence and decide whether the Ring is complete.
Therefore, the first condition of a Ring is not only “Is it important?” but also “Is it executable today?” If important work is too large, it must be split first. Only on this condition does Ring Coach become meaningful, reports become interpretable, and Bayesian analysis learn the user's real execution capacity.
In product introduction copy, a completed Ring may be called Completed Ring; on the current work screen, the count is shown as Closed Ring. Users can understand them as the same meaning.
Think of Ring in three states:
| State | Meaning from the user's point of view |
|---|---|
| Open Ring | A big piece of work has been cut into a day-sized action piece and placed as today's execution candidate |
| Recorded Ring | Actual activity evidence has been attached through 10-minute Activity Slots or Start/Stop |
| Closed Ring | The user checked the evidence and completed the To Do. Same meaning as Completed Ring in product introduction copy |
On mobile, Ring state and recorded time can be checked in the To Do list and selected activity area. On the desktop web screen, the date area also shows Open Ring, Recorded Ring, and Closed Ring counts. These counts show whether today's important work is still only an intention, has moved into records, or has been completed.
Ring Coach is not the Ring itself. Ring Coach is a notification feature that helps an Open Ring move into actual records. Review, Report, Bayesian, and Success Intelligence are not Ring states either. They are higher layers that interpret completed Rings and Activity TX evidence.
11. Record 10-Minute Cells
Mobile Activity Result shows the day in 10-minute units. This grid is not a future timetable; it is a screen for marking activity intervals that actually happened.
10-minute cell recording does not mean writing text every 10 minutes. It means tapping or dragging the time you actually worked and marking it with color. On the move, you can first mark execution intervals quickly without text input.
- Select the Open Ring to record. Select the same Ring again to clear the selection.
- Enter estimated minutes if needed.
- Tap an empty 10-minute cell for the time you actually worked.
- If you worked continuously, drag with your finger or select several cells in a row to mark the interval at once.
- Remove or delete the wrong cell from the activity editor sheet.
A wrongly marked cell can be corrected immediately after recording. You can remove only a specific 10-minute cell inside an Activity TX, or delete the whole TX if it was created by mistake. Older activity records may later require a correction trail instead of silent deletion. This protects Bayesian calculation from losing past execution evidence without explanation.
Do not pre-record future time today. This screen is an actual activity result table, not a plan table.
Comments are not something you write every 10 minutes. When needed, leave the result, interruption reason, or next action on the recorded activity group, called Activity TX.
12. Start / Stop Recording
Use this when you want to record the Ring you are starting now in real time.
- Select the Open Ring to record.
- Tap
Startin the bottom action bar. - Do the work.
- When finished, tap
Stop.
The time from Start to Stop is organized into 10-minute Activity Slots and Activity TX evidence.
13. TX Comments and Attachments
Tap a recorded cell to open the activity editor sheet. The comment left here is execution context that makes the Ring interpretable.
| Feature | Description |
|---|---|
| Comment | Write what you did, why you stopped, and what to do next |
| Change task | Move a wrongly grouped record to another To Do |
| Remove cell | Remove an incorrect 10-minute cell from the activity group |
| Photo capture | Open the phone camera on mobile/PWA and attach a field photo to Activity TX. This button is not available on desktop web. |
| Image | Attach an image file stored on the phone to Activity TX. |
| File | Attach a general file to Activity TX. Video files can also be attached through file selection. |
| Voice input | Enter spoken content as a text comment. The original voice file is not stored. Click the voice button, record your voice, and press the stop button; the voice text is inserted into the body. Voice must match the app setting language for accurate recognition. |
| Delete | Delete the selected activity group |
The mobile photo capture feature remains in the Activity TX attachment area. The app requests camera capture through image file input, so supported mobile browsers open the phone camera. However, depending on iPhone/iPad, Android, browser type, PWA execution mode, and camera permission status, the camera may open directly or the photo library option may appear together.
Each attached file can be up to 25MB. Photo capture, image/file upload, and voice input may appear differently depending on the device permission state. Voice input is not a feature for storing the original voice file; it adds spoken content to the text comment through browser speech recognition.
The result, interruption reason, and next action in a comment are not simple memos. They are required input items used by Success Intelligence, Bayesian calculation and analysis, and management feedback to interpret execution context. ExaTimebox+'s difference is that it does not stop at To Do and activity recording; it interprets post-action evidence to adjust the next Ring choice and operating conditions. Therefore, leaving even a short comment is necessary to obtain the product's practical analysis effect, and even a failed day becomes the next operating condition.

English UI screenshot: the mobile activity editor sheet handles recorded 10-minute cells, comments, photos, files, recording, and voice input in a one-handed flow.
14. Operating Notes and Daily Review
You can use operating notes and daily review on mobile as well.
| Feature | Description |
|---|---|
| Operating notes | Freely write today's thoughts, tomorrow prep, meeting notes, and ideas through a rich text editor. |
| Formatting | Use headings, bold, italic, underline, links, bullets, numbered lists, checklists, quotes, and dividers. |
| Image/video insertion | Leave photos, screenshots, reference images, video files, and YouTube/video URLs in the body. |
| File link | Insert a general file as a body link. |
| Voice input | Convert spoken content to text and insert it at the current cursor position in the operating note. The original voice file is not stored. |
| Timestamp | Insert the current time to separate meeting flow or work flow. |
| Daily review | Leave a 1-5 score and a short review |
The core of mobile operating notes is quickly leaving long writing even on a phone. You can create tomorrow prep as a checklist, attach field context with images or videos, and use voice input to capture thoughts that come up while moving. However, image insertion in operating notes is an editor body insertion feature and is separate from the Photo capture button in Activity TX.
Voice input works when the browser supports SpeechRecognition or webkitSpeechRecognition. It may also be supported on iPhone/iPad Safari, but results can vary depending on Apple device and browser version, microphone permission, and network status. Always check recognized text before saving, and use keyboard input in unsupported environments. Voice works properly when it matches the language selected in the app settings.
Daily review is a “memo that reviews today,” and operating notes are “free records for that day.”
The daily score, blockers, next actions, and the memo/attachment context of operating notes are input items used by Success Intelligence, Bayesian calculation and analysis, and management feedback to interpret the day's execution conditions. These records are not a scorecard for judging the user. They are observations for adjusting tomorrow's Ring choices and operating conditions more accurately. Voice input is supported.
15. Prepare Tomorrow
Tomorrow Prep is a flow for choosing tomorrow's execution candidates tonight. It is not for building a fixed timetable; it helps you start tomorrow morning from the first Open Ring without thinking from scratch again.
Choosing tomorrow's 3-5 priority tasks at the end of the day is one of the most important habits in ExaTimebox+. It is simple, but it requires energy, and it is necessary for success. Do not carry a large task over as-is. Break it into execution pieces that can finish within one day, and leave only the most important Rings so tomorrow's execution can begin.
EXA does not assume that unfinished work from yesterday automatically rolls into today. Every day, the user looks again, chooses again, and completes 3-5 Rings again. Because a Ring is the basic execution loop where a priority To Do passes through actual activity marks and Activity TX evidence to completion, Tomorrow Prep opens the next day's success loop in advance.
- Look at today's Brain Dump, To Do, daily review, and mobile report for work to continue tomorrow.
- Choose only about 3-5 core Rings you must complete tomorrow.
- Enter estimated minutes for each To Do.
- Choose a loose execution period: morning, afternoon, or night.
- The next morning, start with the first Open Ring instead of rebuilding the plan.
Estimated minutes are a reference, not a promise. Tomorrow Prep is not for scheduling every minute of tomorrow. Its goal is to choose core execution candidates in advance and make the first action clear. Actual time records are left tomorrow through 10-minute Activity Slots and Activity TX.

English UI screenshot: the mobile Tomorrow Prep screen helps choose the next day's core Open Ring candidates first and loosely organize execution periods.
16. Mobile Report
The mobile report is a screen for quickly checking Closed Rings and Activity TX flow on a small screen and deciding the next action.
Many ordinary To Do managers or activity-recording tools stop at writing tasks, logging time, and checking items off. ExaTimebox+ cares about what happens after that. From Closed Rings and Activity TX evidence, it moves toward interpreting “why execution happened,” “why it stopped,” and “how the next action should change.”
The Free mobile report is the basic entrance to this Success Intelligence. This Free manual covers basic report use: Closed Rings, activity time, TX, comments, and daily flow. Fuller Bayesian calculation, goal-linked analysis, failure-cause interpretation, behavior guidance, management feedback, and coaching are covered later in Pro / Success Intelligence features.
- Open the report on mobile.
- Choose week, month, or custom period.
- Look first at which Rings were completed and which activities repeated, not just total time.
- Open activities with comments to understand why they happened that way.
- Return to today's screen and adjust the next To Do.
Reports include:
- Total activity time by period
- Time totals by activity
- Daily record flow
- Activities with comments
- Difference between Closed Rings and general activity
- JSON or CSV download
The Free version provides basic reports. Long-term analysis, automatic AI coaching, advanced prediction, advanced Bayesian interpretation, and execution-pattern-based feedback may be separated as later Pro features.
17. Ring Coach Notifications
Ring Coach is not a nagging reminder for a task. It is ExaTimebox+'s behavior-guidance notification system that points to the next action required to complete a Ring. Its purpose is not to make you remember a To Do, but to help an Open Ring move into actual activity evidence, prevent a Recorded Ring from being abandoned, and connect a completed Ring to a short Review and the next choice.
Ring Coach does not execute anything automatically. It preserves the user's judgment while helping the daily execution loop continue from the first Activity TX to continued recording, completion, and short Review.
| Ring state | Next action guided by Ring Coach |
|---|---|
| Open Ring | If there is no execution evidence yet, it guides the next action to leave the first Activity TX. |
| Recorded Ring | It helps decide whether to continue the Ring that already has Activity TX or complete it as today's execution. |
| Completed Ring / Closed Ring | It connects the execution result to a short Review or the next Ring choice. |
Review, Insight, and Success Intelligence are not Ring states. They are higher layers that interpret completed Rings. Ring Coach keeps Open Rings and Recorded Rings from being abandoned before that point.
To receive notifications, the following conditions are needed.
- Sign in to ExaTimebox+.
- Turn on Ring Coach notifications.
- Allow notifications in the browser or device.
- For stable mobile notifications, add the app to the home screen.
The Ring Coach settings screen shows:
- Whether app notifications are on
- Whether browser notification permission is allowed
- Whether this device is ready to receive notifications
- Whether you are using it as a home-screen app
If notifications do not arrive, first check whether notifications are blocked in the device or browser.
18. Notification Center vs. Ring Coach
The top Notification Center is for checking app guidance and EXA announcements. Read status is stored in the current browser.
Ring Coach notifications are device notifications. To receive notifications while not using the app, check notification permission and device connection in Ring Coach settings.
They are not the same feature.
| Type | Role |
|---|---|
| Notification Center | Check app guidance, announcements, and usage tips |
| Ring Coach | Device notification that guides the next execution action based on Ring state |
19. Contact EXA Support
Contact EXA is a support channel where you can exchange messages directly with the ExaTimebox+ operator. You can leave questions about usage, account issues, recording/notification issues, and improvement requests.
Currently, support inquiries store only what the user directly enters, attaches, or pastes. Timebox activity names, comments, reviews, and operating notes are not automatically attached.
Send a new inquiry
- On web, open one of
Support,Contact EXA, or the message icon in the top or settings area. On mobile, tap the support icon in the bottom action bar. - Select
New inquiry. - Write the issue briefly in the title.
- In the message, describe the situation, screen used, expected result, and actual result.
- If screenshot attachment or paste is available, include the problem screen.
- Click
Send inquiry.
Good inquiry examples:
- “Ring Coach notifications do not arrive on mobile.”
- “This week's records look empty in the report.”
- “I did not receive the password reset email.”
View replies and follow up
- Select your inquiry from
Inquiry list. - Read the operator's reply in the conversation screen.
- If more explanation is needed, leave a reply in the same inquiry.
- A closed inquiry may no longer accept replies.
Do not write passwords, verification codes, payment card numbers, or private sensitive information in support messages. If you need to share an activity name or comment to reproduce a problem, copy only the necessary part directly into the message.
20. Change Language
You can change the language in the account or settings area.
Changing language changes screen buttons and guide text, but it does not change content you entered yourself.
Items not automatically translated:
- Brain Dump titles
- To Do titles
- Activity comments
- Daily review
- Operating notes
21. Free Version and Planned Pro Features
The Free version focuses on completing the daily execution loop.
Candidate Pro or later-version features include:
- Longer-range advanced reports
- Analysis connecting goals and activities
- Failure-cause analysis
- Coaching based on execution patterns
- Larger attachment capacity
- More storage
- Advanced notifications
- Automatic AI analysis
The current Free manual does not describe Pro features as usable procedures.
22. Common Issues
I did not receive a sign-up verification email.
No verification email is sent at sign-up. The email is used as the login ID.
I did not receive the password reset email.
Check whether the email you entered is the one used at sign-up. If it still does not arrive, try again after a while. If you signed up with an email you cannot receive, password reset may be difficult.
Notifications do not arrive.
Check notification status in Ring Coach settings. If notifications are blocked in the browser or device settings, they will not be delivered even if you turn them on in the app.
The report looks empty because there are too few records.
Start with about three 10-minute cells today. Reports begin from that. Leaving a little evidence every day matters more than perfect records.
There is too much general activity.
If a general activity repeats, write it as a new Brain Dump item and promote it to a To Do. Then it will be easier to see later.
I want to contact the operator.
On web, open Support or Contact EXA. On mobile, tap the support icon in the bottom action bar to send a new inquiry. When the operator replies, you can view it in the same conversation and leave a follow-up message.
23. Recommended First-Day Use
On your first day, the following steps are enough.
- Sign up or sign in
- Write three things in Brain Dump
- Promote only 1-3 things to To Do for today
- Select the first To Do
- Record one 10-minute cell
- Leave a short TX comment
- Write one line of daily review at the end of the day
- Choose tomorrow's first Open Ring in Tomorrow Prep
- Check the record in the next day's report
The goal of ExaTimebox+ Free is not to use many features at once. It is to gradually align “what I think is important” with “where I actually spent time” every day.
